Introduction

This Privacy Notice explains how Mindship (operated by Ivana Jelisavac) collects, uses, and protects personal data of minors receiving online coaching, in compliance with Swiss data protection laws (nFADP).

 

Data Collection

We collect personal data necessary to provide coaching services, including:

  • Contact details (name, email, phone)

  • Date of birth and age

  • Session notes and progress records

  • Payment information (if applicable)

  • Any information voluntarily shared during sessions

 

Purpose of Data Processing

Your data is used to:

  • Schedule and deliver coaching sessions

  • Monitor and support client progress

  • Communicate with parents/guardians

  • Maintain records for legal, quality assurance and accounting purposes

  • Comply with legal obligations (child protection, law enforcement)

 

Legal basis and consent

Processing is based on the Parent/Guardian’s informed consent for the minor, the performance of the coaching contract, and legal obligations (e.g., child protection). Consent may be withdrawn by contacting contact@mindship.ch. Withdrawal of consent may limit our ability to provide services.

Parental verification and age Minors must be at least 12 years old to participate. By registering and signing consent, the Parent/Guardian confirms they are the minor’s legal representative. We may request proof of parental authority or identity (e.g., ID) to verify consent.

 

Data Storage, Processors & Transfers

All data is stored in Google Drive. Google acts as a data processor under its terms. Data may be processed or stored inside or outside Switzerland/EU; appropriate contractual and technical safeguards provided by Google are relied upon. Security measures we use include encryption in transit and at rest (as provided by Google), restricted access to authorised personnel, and multi‑factor authentication where enabled.

 

Retention (by category)

  • Session notes and administrative records: retained for 2 years from the end of the coaching relationship for case‑management and quality purposes.

  • Payment and billing records: retained for 5 years for accounting/tax purposes.

  • Recordings: only kept if the Parent/Guardian has given prior written consent; retained for an agreed short period (default 90 days) unless otherwise agreed or required by law.

 

Data Sharing

We do not share your personal data with third parties unless:

  • Required by law (e.g., child protection authorities)

  • Necessary to protect the minor’s safety or prevent harm

  • With your explicit consent

  • We use Google as a processor; other processors (if any) will be named and covered by contracts.

 

Your Rights and how to exercise them

You have the right to request access to, correction of, restriction of, or deletion of personal data, and to withdraw consent. To exercise these rights, send a request to contact@mindship.ch. We will verify the requester’s identity and respond within 30 days. You also have the right to lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC): https://www.edoeb.admin.ch/edoeb/en/home.html.

 

Data breach notification

If a personal data breach is likely to result in a high risk to individuals’ rights and freedoms, we will notify affected persons and the FDPIC without undue delay and document the incident and remedial measures.

Privacy for online sessions

Sessions occur via Google Meet. Parents/Guardians are responsible for ensuring a private, secure environment on their side (device, network). The Coach implements reasonable organisational and technical measures but cannot guarantee against third‑party breaches.
